Office Manager

Job Description

Think Architecture, a Utah based professional architectural, landscape, and interior design firm is seeking an Office Manager to manage the day-to-day office operations of a mid-sized architectural firm located in Salt Lake City. The ideal candidate will be dynamic and energetic; possess strong organizational and relationship management skills. We are looking for someone who is reliable, proactive and excited to contribute to our professional office.

This person will be responsible for running office with a focus on efficiency and time management. The successful candidate will drive intra-office communication protocols and implement and streamline administrative procedures and can excel in multiple areas of responsibility.

Responsibilities

  • Daily oversight of accounts billables, accounts payables, and daily general accounting and reports.
  • Partnering with and supporting the CEO, Controller, and firm principals to manage office operations and other related duties;
  • Coordinate firm time tracking, payroll, and tax reports with Controller;
  • Assist Controller and all principals with all monthly invoicing;
  • Coordinate with firm accounting firm on monthly basis;
  • Maintain order and ensure office is in good working condition, oversee CEO’s schedule, and supervise administrative office staff;
  • Assist with public relations, marketing, and real estate operations duties;
  • Serve as main point of contact for the CEO and the firm;
  • Conduct and contribute in meetings with principals and staff;
  • Firm liaison for Human Resources communication and issues;
  • Assist in managing the onboarding process for new hires as well as assist new hires during the transition period;
  • Coordinate and oversee yearly employee reviews and firm outings;

Qualifications/Required Skills

  • 5+ years of experience managing or co-managing medium to large professional services firm, office or relevant experience.
  • Bachelors’ Degree in Accounting or related field with a strong understanding of advanced accounting procedures;
  • Organized, methodical, and capable of working independently and with firm executive team;
  • Strong communication (verbal and written) skills;
  • The position requires the ability to handle multiple tasks, meet deadlines and be flexible;
  • Proficiency in Deltek Ajera, MS word, MS excel, MS outlook, and Adobe Acrobat or Bluebeam
  • Strong relationship-building skills at all levels of an organization;
  • Highest degree of professional discretion, integrity, and judgment;
  • Utah Public Notary;
  • Professional business attire and appearance;
  • Current driver’s license with excellent driving record;
  • Can pass a comprehensive background check;

Salary

Salary will be determined depending on experience and qualifications.
